Large office supply in the biggest cities in Poland, both in class A projects and class B buildings, encourages companies to optimize office space. The selection is really wide. The office market in our country has never developed at such a fast pace and has never provided so many opportunities. Changing the office brings many benefits. Verification of the market offer also pays off to companies that have not yet decided to move and are considering renegotiating their lease agreements. Comparison of available market options with the possibilities offered by the extension of the contract, usually brings the answer to the question of what solution to choose.
- Location has a key impact on the functioning of the company. Selecting an office is a strategic decision for enterprises, because in the current, highly competitive market conditions, they must provide employees with a comfortable and accessible workplace, offering access to the public transport network and a convenient car park. In addition to improving the standard of office space and access to it, the motivation to change the office for many tenants is also consolidation of branches or optimization of rental costs. Increasingly, companies are prompted to relocate to secure long-term expansion options within the same building and arrangement flexibility in the perspective of future development. Many office complexes implemented today in the largest business centers in the country give such an option. In the new office buildings, often at the design stage, space is arranged for instant offices or co-working zone, which significantly increases the attractiveness of the offer. This type of solutions, in case of urgent need, is used by companies that have to quickly organize additional workplaces, but not only that. Tenants who simultaneously contract traditional space in the building decide to lease shared offices, hoping that establishing business contacts with other users of flexible space will bring benefits to the company.
Flexi space, also works well when a large number of projects are carried out by a company within a certain period of time. They allow to expand the workspace for the duration of their operation without the need to permanently increase the space and pay for its arrangement.

Bartłomiej Zagrodnik admits that the rising costs of adapting office space also encourage tenants to use more flexible forms of space arrangement. The ones that that allow to redesign the interior later in a quick and simple way, adapting it to the current style and work time of the team. - As a result, offices are becoming more flexible, and companies are moving away from designing large open spaces in favor of creating interesting space for shared use and implementation of solutions comfortable for employees – explains Bartłomiej Zagrodnik.
He also emphasizes that companies now pay much more attention to rental issues and more and more often create long-term strategies related to future expansion. – Spaces are secured even 2-3 years before the end of the existing contracts. This allows to sign contracts or letters of intent with developers at the stage of obtaining permission for the construction of new facilities. As a result, tenants are guaranteed to secure space that is the most attractive and best suited to their needs - explains Bartłomiej Zagrodnik.
Lease period
The expert also draws attention to the prolonging lease periods. - Longer contracts meet the expectations of both tenants and landlords. Five-year lease is still a standard on the market, but we are increasingly contracting office space for 6, 7 years and even 10 years. This allows for greater incentive packages for tenants - informs Bartłomiej Zagrodnik.
Although the costs of leasing offices in modern buildings are not low, professional space may prove cheaper compared to the total cost of maintaining, for example, an office villa. Especially that the relocation opens the possibility of improving the functionality of space and optimizing its size. In addition, the use of energy-saving technologies in modern office buildings and the wholesale purchase of utilities and services made by their managers, make the operating charges competitive.
In addition, the new facilities offer not only work space, but also green terraces for recreation, comfortable conference facilities and a number of on-site services related to physical activity, catering or meeting everyday needs. What's more, building management companies often try to take action to facilitate contacts between tenants. They organize various meetings, group activities and events. This is to build relationships between building users, which can be attractive not only in business context, but also employee context.
