First, we carry out a needs analysis and an audit of the existing contract. Based on this, we then prepare a strategy according to the options of remaining, relocation, change in the floor area, renovation or sublease. Each option is assessed in terms of costs, risks and impact on the organisation growth and is translated into a schedule of decisions and actions.

We prepare an overview of available office spaces, compare financial terms and conditions, recommend the best locations for further talks and prepare presentations of selected spaces.

We can prepare an arrangement plan and optimise costs

We lay down guidelines for arrangement of the space, verify the compliance of the plan with the needs of your organisation and coordinate changes until the final version is established. We organise the valuation of works: we verify cost estimates, negotiate costs and scope, keep an eye on deadlines and key arrangements.

We can conduct financial and legal negotiations

We compare offers, analyse costs and prepare cash flow. We maximise incentives and recommend the most advantageous solutions. We negotiate with Landlords and secure your interests in the contract (we analyse a template, identify risk areas, propose provisions protecting your rights).

We can assist you throughout the entire process of signing the contract

At the stage of finalising the process, we verify and complete documents with attachments, supervise the compliance of the content with the arrangements, coordinate the circulation of documents and lead you up to signing the contract.

We supervise the design process, construction works and acceptance of subsequent stages

We coordinate arrangements with the Landlord and deal with formalities related to the security of the contract. We organise tenders and recommend suppliers. We provide project management by coordinating contractors, monitoring schedules and budget, conducting acceptances and drawing up lists of defects with deadlines for their removal.

We are with you for the entire duration of the lease contract

We also provide our support after the space is already handed over to you. We provide reports and market data, recommend further steps and support you in changes in space arrangement, rearrangements, expansion, subleasing and renegotiations. We also offer access to know-how and events as part of the Tenant Academy.

Ideally, 18-24 months before the end of your lease contract or when the issue of relocation, office consolidation or change of work model comes up. The early start of the process gives a chance for negotiating better financial conditions and secures a wider choice of locations and a relaxed implementation of the project.

The audit is free of charge. This is to indicate the most important risks, opportunities for renegotiation and potential scenarios of action – from staying in place, through changing lease conditions, to possible relocation. The decision on moving on to the further stages with us is entirely up to you.

In most projects, our remuneration is covered by the owner of the building (the Landlord), which is why we offer full advice with an exclusive contract. This covers market analysis and contract audits, negotiations of terms and contracts and support in the acceptance of office space. We separately price extended specialist services, such as in-depth technical and cost audits, workplace analyses, design or relocation coordination.

In office lease projects, we act exclusively on the side of the Tenants. Our task is to secure your interests, not to maximise the profit of the building owner. This allows us to freely compare facilities and recommend solutions that are actually best suited to your company’s strategy. The exception is selected commercialisation projects, which we implement within separate structures on clearly defined terms.

We run projects in Warsaw and in all major regional cities, incl. Krakow, Wroclaw, Tricity, Poznan, Katowice and Lodz. For companies operating in several locations, we can prepare a coherent office strategy covering the entire Poland.

Renegotiation of the contract for the same building usually takes 3-6 months; this includes the analysis of options, preparation of a negotiation strategy, talks with the Landlord and agreeing on the terms and conditions and annexes to the contract. The full process of office relocation – incl. looking for a new space, negotiations, space arrangements and moving in – usually takes 9-18 months, and with larger areas and full fit-out, it can take even longer.

We need to be in touch with the following bodies on the client’s side: a decision-maker (Management Board / Owner / CFO) and representatives of Administration, HR and IT Departments. We operate the project, and our client has to make decisions at its key stages based on the data and recommendations prepared by us.

Yes. After the selection of a specific building, we can take over supervision of the entire fit-out process – from establishing cooperation with an architect, through conducting a tender for a contractor, to constant work supervision, acceptance of works and the process of relocation. It is more convenient for our Clients to have only one point of contact instead of several.

We start with analysing. We conduct the audit of your contract, cost analysis and have a short conversation with you on the company’s future plans. On this basis, we present you with recommendations. Sometimes the best decision is to stay at your current location but under better conditions; but sometimes it is better for you to relocate. Our goal is not to "force a move" but to choose the optimal scenario for your business.
