Project description

New headquarters as a tool for cooperation and development

This leader in receivables management in Poland and Europe faced the decision to remain in their scattered office space or invest in a new headquarters that would truly support the organisation’s growth. Our task was to guide the company through the entire process, from needs assessment to signing a lease agreement and a ready-made office.

CHALLENGES

Office that organizes space and processes

The existing space was divided into several floors, with duplicate rooms (kitchens, toilets, zones), which increased costs and made cooperation difficult. The key dilemma was whether to renegotiate the contract and stay put or move to a new location. Each of these options had different financial and organisational consequences.

The new headquarters was to meet ESG requirements, ensure accessibility for people with disabilities and maintain a high standard of fit-out. The project involved many partners.

OUR SOLUTIONS

Decisions based on data, not intuition

We started with a workplace survey, incl. on-site visits, interviews with the Board, HR and Administration departments and employee surveys. On this basis, we developed a map of needs. We analysed the existing lease agreement, identified risks and prepared scenarios for renegotiation and relocation. In the course of the market review, we created a short list of locations and started negotiations with a view to secure the tenant’s interests throughout the lease period. We designed the office as a business tool with specific zones (for meetings, focused work, specialised functions) and a place for further development of the organisation. We supervised fit-out works and technical acceptances. We reported to the Management Board on the status of negotiations, cash-flow and generated savings on a regular basis.

KRUK gained a modern, cohesive headquarters designed for a realistic model of working without space on different floors. The new complex meets high technical, environmental and accessibility standards, supporting ESG goals and employee needs. The decision to select the building was based on a comprehensive scenario analysis, not just on attractive rental conditions. Cost optimisation, effective negotiations and a well-designed fit-out budget allowed for maintaining a high standard of fit-out while limiting legal and financial risk. For the Management Board, reducing the organisational burden was crucial. We guided the company from the stages of workplace studies and strategy research, through negotiations, up to the finished office. The result: a space that truly supports the business, going beyond formal lease requirements.
