Office space supporting hybrid work

After more than 10 years in one location, the law firm had to face the decision to stay in the current office or to move to a new headquarters better adapted to hybrid work. Our task was to carry out the entire process so that the change of address would translate into a real improvement in the comfort of work, reducing costs and reviving the firm’s image.

CHALLENGES

Office adapted to hybrid work and the new rhythm of work

The previous office with a huge floor area was located on two floors. Thus, many of its functions had to be duplicated, and the maintenance costs were consistently rising. The hybrid model of work resulted in a significantly large percentage of the office space being only partially used. This revealed the need for optimisation. However, the law firm did not want to leave its prestigious and recognisable location with a panoramic view and a high standard of fit-out reflecting the leading position among law firms. Therefore, it was crucial to rearrange the space and improve the comfort of work without compromising the firm’s image.

OUR SOLUTIONS

From scenario review to comprehensive project management

We started with an audit of the existing office space and expenses. We then prepared two scenarios for remaining in the current building and relocation, supported by calculations of costs, schedules and thorough analysis of the impact on the organisation. Based on the above, our final recommendation was to relocate. We negotiated lease terms taking into account a hybrid model of work, i.e. smaller but more efficiently used office space and transparent fit-out rules. We secured the provisions of the agreement, limiting risks on the tenant’s side. We also coordinated the process of architect and project manager selection and supervised the budget and deadlines. The new, smaller – but much more functional – office consists of a posh reception desk, conference rooms, open space, back-office facilities, an archive and a zone for recording expert content.
